Fleet management
Keep every van, car, HGV and trailer in one place, with MOT, road tax and PMI dates, daily pre-start checks done on the phone, and reminders before anything lapses.
Keep your cars, vans, HGVs, trailers and other vehicles in one place, each with its registration and details.
Record the due dates for each vehicle and SOOF emails a reminder before they lapse. You choose how many days before, and new accounts start with a 30-day warning.
For vehicles that need periodic safety inspections, SOOF records the date, the inspector, any defects, who signed off the fix, and an attachment. It also tracks when the next one is due. Each inspection is saved as a new entry in the vehicle's PMI history and is never overwritten or deleted, so the history covers the 15 months that DVSA says PMI records must be kept.
Build your own pre-start checklists, as many as you need, and give each vehicle the one that suits it. Vehicles without one use your default checklist.
Each time you change a checklist, SOOF saves it as a new version. Every inspection keeps the checklist it was completed against, so an old record still shows what was asked.
Drivers complete the daily check before using the vehicle on their phone, with an odometer reading, photos as evidence, defect notes and their signature.
Assign a vehicle to a person. If they have clocked in and not yet done today's check, SOOF reminds them.
Produce a branded PDF of the MOT, road tax and PMI dates coming up in the next six months, so nothing is a surprise.
Step 1
Enter each vehicle's registration and type, and its MOT, road tax and PMI dates.
Step 2
Choose who gets the reminder emails and how many days before each date.
Step 3
Give each vehicle a driver so it is clear who is responsible for the daily check.
Step 4
The daily check is completed and signed on the phone, with photos if something is wrong, and kept on the vehicle's record.
Vehicles sit alongside your jobs, team, attendance, RAMS and invoicing in SOOF, so one system covers the whole operation. It suits scaffolding, bricklaying, roofing and many more trades, and any business that runs vehicles. SOOF checks vehicles for compliance. It does not track where they are.
Who can see and manage vehicles is controlled by permissions, so only the people you choose have access.
It keeps your company vehicles and their compliance in one place, instead of a spreadsheet and a diary. SOOF holds each vehicle's MOT, road tax and PMI dates, sends reminders before they lapse, and records the daily pre-start checks your drivers complete.
No. SOOF does not track where vehicles are. It is for vehicle compliance and daily checks, not live location tracking. If you need live tracking, you would use a separate tracking product alongside SOOF.
Yes. The driver completes the pre-start checklist on their phone with SOOF MyDay, adds an odometer reading, photos and notes, and signs it off. The check is kept on the vehicle's record.
Yes. SOOF emails a reminder before the MOT, road tax or PMI date, and again once it is due. You choose how many days before. New accounts start with a single 30-day warning and you can add more.

A PMI is a periodic safety inspection, normally for goods vehicles over 3.5 tonnes that operate under an operator's licence. You decide which vehicles need one, and SOOF suggests it for vehicles over 3.5 tonnes. SOOF records each inspection and tracks when the next is due. Operators must keep PMI records for at least 15 months, and SOOF never overwrites or deletes them. It is a record keeper, not a substitute for checking your own legal duties.
Vehicles are included on every plan, with every other module. SOOF starts from £29 a month plus VAT, and every new account has a 30-day free trial with no card needed.
