Attendance and timesheets

Know who is where, without the phone calls.

Workers clock in and out at site on their phone, SOOF checks the location, and the hours become timesheets you can approve and labour cost on each job. Lateness reports, holiday requests and sickness records included.

What SOOF does for attendance

  • Clock in and out at site

Workers clock in and out on their phone. SOOF checks the phone's location against the site and records whether they were there and how far away they were.

  • See who is on site

A live view shows who has signed in, so you do not have to ring round to find out.

  • Sign someone in for them

Forgotten phone or forgotten clock-out? A manager can sign someone in or out, or correct a time. It is marked as entered by the manager, so the record stays honest.

  • Reminders to sign in and out

Set a time by which everyone should be signed in, and SOOF reminds those who are not. Workers with a scheduled job also get sign-in and sign-out reminders.

  • Attendance and lateness reports

Monthly reports compare clock-ins with each person's schedule, so you can see who has been late and how often.

  • Timesheets that get approved

Hours roll up into weekly or monthly timesheets. They are submitted, then approved or rejected by a manager, and can be downloaded as a PDF or spreadsheet.

  • Hours become job costs

Hours worked on a job are costed using each person's pay rate, hourly, daily, shift or project, and appear as labour cost in that job's profitability report, next to materials and travel expenses.

  • Holiday requests

Employees request annual leave in SOOF and managers review each request, so holiday is recorded in one place and shows on timesheets.

  • Sickness recorded in the system

Employees report sickness or medical leave in SOOF, and managers review it. It is recorded as sickness on their timesheet, so absence is not left to texts and notes.

  • Holiday calendars when you schedule

When you book work over a bank holiday or a company closure, SOOF warns you. UK bank holidays are on by default, and you can add other calendars and your own closure dates.

How it works

  1. Step 1

    Add your team

Invite your employees and choose who can see and manage attendance.

  2. Step 2

Workers clock in on their phone

Each worker signs in at site and out at the end of the day, with the location check recorded.

  3. Step 3

    Review the day

See who is in, who is late and who has not signed in, and correct anything that needs fixing.

  4. Step 4

    Approve timesheets

At the end of the week or month, approve each timesheet and download it for payroll.

Part of running the whole company

Attendance sits alongside your jobs, vehicles, RAMS and invoicing in SOOF, so the people on site, the work they are doing and the paperwork behind it are in one system. It suits scaffolding, bricklaying, roofing and many more trades. Who can see and manage attendance is controlled by permissions.

Attendance questions

What is employee attendance software for a trade business?

It records when your people start and finish work and where they were, so you do not rely on paper sheets and phone calls. SOOF lets workers clock in at site on their phone, checks their location against the site, and turns the hours into timesheets you can approve.

How does clock-in work at site?

The worker clocks in on their phone. SOOF compares the phone's location with the site and records whether they were on site and how far away they were. It is a check on where the clock-in happened, not a live tracker.

Does SOOF track employees all day?

No. SOOF records the location when someone clocks in and out. It does not follow them around.

What if someone forgets to clock in or out?

A manager can sign them in or out, or amend a time. The entry is marked as made by the manager, so you can always see which times were recorded by the worker and which were corrected.

Can I see who is late?

Yes. The lateness report compares each person's clock-in with their schedule by month, and shows who arrived late and how often.

Do attendance hours show in my job costs?

Yes. Hours worked on a job are costed using each person's pay rate, which can be hourly, daily, per shift or per project, and shown as labour cost by employee in the job's profitability report, next to materials and travel expenses. Labour cost needs a pay rate set for the person.

Can employees request holiday and report sickness?

Yes. Employees request annual leave or sickness in SOOF, and managers review the request. Approved absence shows on timesheets.

Can I export timesheets for payroll?

Yes. Timesheets can be downloaded as a PDF or spreadsheet, for one person or the whole team. SOOF is not a payroll system, so you take the hours into your own payroll.

How much does it cost?

Attendance is included on every plan, with every other module. SOOF starts from £29 a month plus VAT, and every new account has a 30-day free trial with no card needed.

Try it with your own team

Every new account gets 30 days free with every module and no card needed. SOOF is company and job management software, so attendance sits alongside the rest of your operation.
